The Administrative Associate is responsible for assisting the Executive Director and the business office in day-to-day operations and to maintain the human resources files of Neighborhood House, Inc. These duties may be carried out in both Wilmington and Middletown. The right candidate will have a valid driver’s license and will be required to work at our Middletown office a minimum of one day per month.

Neighborhood House employees are expected to consistently display a pleasant, positive attitude toward co-workers, clients and volunteers and have a willingness to perform any other activity not specifically detailed in this job description, but which may be required.

Requirements

RESPONSIBILITIES:

  • Issue thank you letters for both monetary and non-monetary gifts for the Executive Director’s signature.

  • Process payroll through the agencies payroll data management system (ADP).

  • Maintain Little Green Light database for donor retention and tracking.

  • Maintain the fax machines, copiers, stamp machine and supplies.

  • Prepare new employee packets so they are available to management upon request.

  • Send meetings notices, agendas, minutes and other materials as directed by the Executive Director, Board Chair, Committee Chairs.

  • Put together informational packets for new board members.

  • Assist with arrangements for Annual Meeting as well as preparation of invitations, an agenda, Directors’ Committee report, etc. Work with the Executive Director in preparation of the Annual Report.

  • Maintain copies of agency’s standard forms.

  • Maintain employee resource files.

  • Prepare and send material for staff and board meetings as directed by Executive Director.

  • Serve as backup to front desk receptionist.

  • Responsible for handling and maintaining confidential records or reports.

  • Perform other duties as assigned that support the mission and operations of Neighborhood House.

QUALIFICATIONS:

EDUCATION:


Associates Degree or 5 or more years experience in administrative support.


KNOWLEDGE, SKILLS AND ABILITIES:

  • Proficient in Microsoft Office (Word, Excel, PowerPoint), database management, email, social media, and internet applications, with knowledge of office equipment including computers, projection equipment, telephone systems, facsimile, and photocopiers.

  • Ability to work independently with minimal supervision, while also being a strong team player.

  • Driver’s license and access to a vehicle required.

  • Ability to facilitate multiple tasks simultaneously.

  • Strong verbal and written communication skills.

  • Strong organizational skills.

LICENSE/CERTIFICATION:


Valid driver’s license and proof of current auto insurance are required.


PHYSICAL and VISUAL ACTIVITIES:

  • Ability to interpret, evaluate and communicate detailed written or verbal instructions to others accurately and quickly, including answering telephones, attending meetings, written correspondences or other forms of communication.

  • Ability to communicate effectively (expressing or exchanging ideas by means of the spoken or written word).  This skill/ability is important in work activities in which workers must impart or receive detailed information through oral or written communication.

  • Ability to lift, push, pull or carry up to 5 pounds for the dissemination of documents, supplies, materials, etc. to various locations throughout the office/ facility.

  • Physical and visual activities that are commonly associated with the performance of the essential functions of this job.
